Organising and promoting conferences, seminars, public meetings and special events

Running conferences, seminars and public meetings well is a demanding, time-consuming task. We are able to take on this role for clients whose own staff are too busy on other priorities.

Having agreed the theme of the conference or meeting, the timescale and the budget, we get on with the job of finding a suitable venue, organising speakers, promoting and publicising the event, dealing with inquiries and registering participants.

In other words, we are geared up to take over the role of conference organisation completely, liaising on your behalf with suppliers of audio-visual equipment, caterers, display stand contractors, printers and the news media.

In addition to providing the secretariat and reception facility for the day of the event, we can also record the proceedings, produce a conference report and arrange for its distribution not only to those who attended on the day but to a much wider target audience.

Whilst the majority of events we organise are in the format of conferences and seminars, we are from time to time called on to arrange special ‘one off’ events. For example, we have organised several health fairs, at least four sponsored bike rides and one charity cricket game.

Birmingham Drug Action Team Stakeholder Event

Held in early 2003 at Edgbaston Cricket Ground, this event attracted over 150 people from a wide variety of agencies and user organisations in the city. Its purpose was to inform stakeholders about the progress being made by Birmingham Drug Action Team in tackling drug problems and to give individuals working in the drugs field a chance to find out what others were doing.

We helped to shape the programme, organised all aspects of the event (including a 'trade fair'), provided the administrative infrastructure on the day, wrote up the proceedings, and published a post-event newsletter summarising the key issues raised.

Regional Tacking Drugs Together Conferences for the Health Education Authority

For the former Health Education Authority we organised four major regional events (in London, Solihull, Harrogate and Taunton) on the theme of Tackling Drugs Together. The purpose was to unfold national strategy on drug-related issues and to receive ideas and feedback from practitioners in the field.

We contacted speakers, arranged venues, publicised the events, handled inquiries and responses and provided all the necessary administrative support on the day.

National Coronary Heart Disease Event for the Health Education Authority

This was a complex, multi-faceted national event that we organised in Birmingham for the former HEA. The three day event included a conference, an exhibition, the launch of a major national strategy for coronary heart disease, and a series of special events and activities held in open public places to capture media attention and attract large numbers from the general public.

We organised the venues (Gas Hall, Library Lecture Theatre and Exhibition Rooms), arranged accommodation at four different hotels in the city, liaised at all stages with speakers, contributors, exhibitors and participants, publicised the event to the national, regional and local news media, and provided all the administrative support on the day.

Smoking Prevention among Young People - event organised for the former West Midlands Regional Office of the NHS Executive

We organised this event at the International Convention Centre to help promote greater awareness among health and teaching professionals about opportunities for persuading young people not to start smoking - or to give it up quickly if they do.

Many pupils and students from around the West Midlands were invited to participate. Indeed, teachers and students played an active role in making presentations on the day - often with 'live' re-enactments on stage of classroom scenarios from school or college.

Our role was to shape the programme, invite participants, organise the venue and make all the necessary arrangements. We also produced a post-conference report for wider circulation.

Reducing Sugar Consumption Conference for West Midlands Health Authorities

Held at the International Convention Centre in Birmingham, this event was one of the first of its kind in the country to highlight the problems caused by excessive consumption of sugar and sugary foodstuffs and drinks.

We were commissioned by a consortium of West Midlands Health Authorities to bring together dentists, nutritionists, health educators, scientists, teachers and representatives of the food and drink industries to debate and discuss strategies for reducing the negative impact of sugar on people’s health.

Conference on Promoting Dental Health and Reducing Tooth Decay - organised for West Midlands Health Authorities, the British Dental Association and the British Fluoridation Society

Also held at the ICC, this event was sponsored by two national organisations and by West Midlands Health Authorities to highlight the importance of fluoride in promoting good dental health and reducing tooth decay.

Our role was to shape the programme, invite speakers, contributors and participants from a range of different countries, organise the venue, promote the event to the news media, and provide all the necessary administrative support.
